For day spas
Glow Line for day spas
A spa sells quiet. Front desk cover is expensive and the phone is busiest on the days the treatment rooms are full. Glow Line answers with your treatment list and hours, takes requests and messages, and texts the team.
Incoming call, Saturday 1:05 pm
- Do you have a couples package? It is our anniversary next month.
- Thanks for calling Stillwater Day Spa. The couples ritual is $380 for two and runs for two hours.
- Could we do the second Saturday, and can a friend's voucher go towards it?
- Vouchers can be used towards any treatment or package. I will request the second Saturday for two. What name and mobile should the team text?
Booking request Sent to the spa with the caller's name, mobile, the package and the voucher.
What gets in the way for day spas
Peak days are the busiest on the phone
Saturday is full in the rooms and full on the line. A receptionist on a lunch break means twenty minutes of voicemail.
Long menus, long treatments
Rituals of two hours, massage by length, facials by type, packages for two. Each needs a price and a duration spoken clearly, and the assistant reads yours.
Gift vouchers all year
Voucher questions are a large share of spa calls. Put your voucher rules in notes and the assistant answers them.
A worked example
Day spa work, with Glow Line
Stillwater Day Spa has five treatment rooms, a relaxation lounge and a part-time receptionist who works three days. The menu on Glow Line lists thirty treatments: massage at 60 and 90 minutes, facials, body wraps, a couples ritual and three packages. Notes cover arrival time, robes and slippers, the voucher rule and that the spa is closed public holidays.
On a Saturday with no receptionist, a caller asks about a couples package for an anniversary next month and whether a voucher from a friend can be used towards it. The assistant gives the package price and length, reads the voucher rule, and takes the caller's name, mobile and a preference for the second Saturday of the month. The owner sees the request on the Bookings page that evening and texts an offer.

Questions from day spas
Can it take a booking for two people?
It takes a request with the service and the detail the caller gives, such as two guests. You confirm the rooms.
Can it explain our cancellation policy?
Yes, if it is in your notes. It will not apply a fee or take a payment.
Is 200 calls enough for a spa?
Salon includes 200 answered calls a month, with calls still answered up to 400 and a note on each over 200. A spa with a receptionist most days usually diverts only gaps and after hours.
