Glow Line for skin clinics

Clinic phones ring with questions that need a consultation to answer properly. Glow Line gives the price and length of what you list, says plainly when something needs the team, and takes the request. It never invents a clinical answer.

Incoming call, Friday 12:40 pm

  1. Hi, I would like a peel for some pigmentation. What does that cost?
  2. Thanks for calling Clearwater Skin. A first peel starts with a skin consultation, $60 for 30 minutes. The light peel itself is $130 for 45 minutes.
  3. Okay. Should I stop my retinol before I come in? Wednesdays suit me.
  4. I am not sure about the retinol, so the therapist will answer that. Can I take your name and mobile for a Wednesday consultation?

Consultation request Sent to the clinic with her name, mobile, a Wednesday and her retinol question.

What gets in the way for skin clinics

Consult-first pricing

Many treatments cannot be priced on the phone. List the consultation as a service, put the rule in notes, and the assistant says that is where the price is set.

Treatment rooms need quiet

A client mid-peel does not want to hear the phone, and the therapist cannot leave. The line takes the call and the text waits for a break.

Questions the assistant must not answer

Suitability, contraindications and aftercare belong to a qualified person. The assistant says it is not sure and that the team will confirm, every time, because it only has your list.

A worked example

Skin clinic work, with Glow Line

Clearwater Skin is a two-room clinic run by a dermal therapist, with a second therapist three days a week. The list on Glow Line has nine services, including a skin consultation at $60 for 30 minutes, a signature facial at $120 for 60 minutes, an LED session at $50 for 30 minutes, a light peel at $130 for 45 minutes, microdermabrasion at $110 for 45 minutes and skin needling at $280 for 60 minutes. Notes say a skin consultation comes before a first peel or skin needling, a patch test is needed at least 48 hours before a first peel, a course of LED is planned at consultation, and the clinic is closed Mondays. One more line covers the rest: questions about skin conditions, medication or products a client uses at home are answered by a therapist, who will call back.

On a Friday at 12:40 pm, with both rooms busy, a caller asks what a peel for pigmentation costs. The assistant reads the consultation rule, gives the consultation price and the light peel price, and mentions the patch test. She asks whether she should stop her retinol beforehand. The assistant says it is not sure and that the therapist will answer that, then takes her name, mobile and a preference for a Wednesday. The therapist reads the text after a facial, rings her at 2 pm about the retinol, and books the consultation and patch test for Wednesday at 10 am.

The path from that call is $60 for the consultation and $130 for the first peel. Anything beyond that is planned in the room, where the therapist can see the skin, not over the phone.

Questions from skin clinics

Will it give medical advice?

No. It answers from your services and notes only. Anything beyond that gets a plain reply that the team will confirm.

Can it quote a course of treatments?

Only as you list it. Put a course on the list as its own service with one price, such as six LED sessions, or list the single session price and say in notes that courses are planned at consultation. It will not work out a course price of its own.

Can we record a cancellation policy?

Write it in notes. The assistant will state it and will not take any payment.

Give the phone to someone who only says what you told them
